Executive Assistant to the General Manager

Job Description:

The Executive Assistant to the General Manager provides high-level administrative support to the General Manager, ensuring efficient operations and effective management of the hotel. This role includes managing schedules, handling correspondence, and performing various administrative tasks to facilitate the efficiency and effectiveness of the GM and the hotel's executive team.

Job Responsibilities​

Manage and maintain the GM's schedule, including arranging meetings, appointments, and travel itineraries.

Prepare and edit correspondence, communications, presentations, and other documents.

Handle incoming and outgoing communications, including emails and phone calls.

Organize and prepare for meetings, including drafting agendas, gathering and preparing materials, and recording minutes.

Coordinate logistics for internal and external meetings, conferences, and events.

Maintain and update files, databases, and records, ensuring data accuracy and confidentiality.

Conduct research and compile data for reports, presentations, and projects.

Act as a point of contact between the General Manager and internal/external stakeholders.

Communicate effectively with department heads, staff, and guests to address inquiries and resolve issues.

Prepare travel expense reports and ensure timely reimbursement.

Assist in the planning and execution of special projects and initiatives.

Monitor progress and provide regular updates to the General Manager.

Ensure that the office environment is organized and well-maintained.

Manage office supplies and equipment, placing orders as necessary.
Required Qualifications​

2-4 years of experience in an executive assistant or similar role, preferably in the hospitality industry.

Excellent organizational and time-management skills.

Strong verbal and written communication abilities.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Ability to handle sensitive and confidential information with discretion.

Strong interpersonal skills and the ability to work collaboratively with diverse teams.

Detail-oriented with a high level of accuracy in work.

Proficiency in Armenian and English is required; knowledge of additional languages is a plus.

Bachelor’s degree in Business Administration, Hospitality Management, or a related field
